Pilates Kollektive Inc., operating as Core Pilates Studio & Academy and Core Pilates Academy (“Core,” “we,” “us” or “our”), respects your privacy and is committed to handling personal information responsibly.

This Privacy Policy explains how we collect, use, disclose, store and protect personal information in connection with our websites, studio locations, classes, private sessions, memberships, events, teacher-training programs and related services.

Information We Collect

Depending on how you interact with Core, we may collect:

  • your name, email address, telephone number, address, date of birth and emergency contact information;

  • account, membership, package, booking, attendance and purchase information;

  • payment and transaction information;

  • information you voluntarily provide concerning injuries, pregnancy, health conditions, accessibility needs or other circumstances relevant to safe participation;

  • communications, enquiries, feedback and customer-service records;

  • signed waivers, contracts, consents and policy acknowledgements;

  • website and device information, such as IP address, browser type, cookies and website activity;

  • photographs, video, audio or virtual-class participation where appropriate notice and consent have been provided;

  • video-surveillance footage from designated studio and common areas; and

  • teacher-training information, including registration, attendance, assignments, assessments, examination results, practice hours, certification records and educational recordings.

We limit collection to information reasonably required for our identified purposes.

 

How We Collect Information

We may collect information:

  • directly from you through our websites, forms, emails, telephone calls or in-person interactions;

  • when you create an account, make a purchase or book through Momence;

  • when you register through ClassPass or another authorized third-party platform;

  • through payment, communications, virtual-learning and educational platforms; and

  • automatically through cookies, website analytics and similar technologies.

  • Information provided through a third-party platform is also subject to that provider’s privacy practices.

 

How We Use Information

We may use personal information to:

  • create and administer customer and trainee accounts;

  • process purchases, memberships, renewals and payments;

  • schedule and manage classes, sessions, appointments and teacher training;

  • communicate booking information, schedule changes, policy updates and service notices;

  • support safe and appropriate participation;

  • respond to enquiries, requests and concerns;

  • administer education, mentorship, assessments and certification;

  • maintain business, tax, insurance and legal records;

  • protect the safety and security of clients, trainees, instructors, staff and studio property;

  • improve our programs, services and customer experience; and

  • send promotional communications where permitted, with the ability to unsubscribe.

We will not use personal information for a materially different purpose without obtaining any additional consent required by law.

Payments and Service Providers

Payments may be processed by Momence or another authorized payment provider. Core generally does not receive or store complete payment-card information.

We may use service providers to support scheduling, payment processing, website hosting, email and text communications, analytics, video conferencing, online education, file storage and business administration. These providers may process personal information only as required to provide their services to Core and are subject to their own privacy and security obligations.

Current service providers may include Wix, Momence, payment processors, Zoom, LearnWorlds, ClassPass, WellHub and other platforms used in Core’s operations.

Sharing of Information

Core does not sell personal information.

We may disclose information to:

  • Core instructors, Teacher Trainers, apprentices, staff and contractors who require it to perform their responsibilities;

  • technology, payment and administrative service providers;

  • authorized Host Training Centres, mentors or assessors involved in an Academy program;

  • emergency responders where reasonably necessary to protect someone’s health or safety;

  • professional advisers, insurers or legal representatives;

  • government, regulatory or law-enforcement authorities where required or permitted by law; or

  • another organization in connection with a proposed or completed business transaction, subject to appropriate confidentiality and legal requirements.

Access is limited to what is reasonably necessary for the applicable purpose.

 

Health and Safety Information

Clients and trainees may choose to provide information about injuries, pregnancy, health conditions or accessibility needs relevant to participation. This information is used to support safe instruction, appropriate modifications, emergency response and program administration. Core instructors do not diagnose medical conditions or provide medical treatment.

Please avoid providing medical information that is not relevant to your participation or accommodation needs.

 

Photography, Recording and Virtual Participation

Some classes and teacher-training activities may include virtual participation or supervised observation. Participants may be visible or audible to instructors, trainees and other participants as described in the applicable class information, waiver or training agreement.

Identifiable educational recordings of studio clients require separate consent. Teacher trainees may be required to participate in recordings that are necessary for course delivery, mentorship or assessment, as disclosed in the applicable teacher-training agreement.

Core will obtain separate consent before using an identifiable person’s image, voice or recording for public advertising, promotional materials or social media.

 

Video Surveillance

Video surveillance may be used in designated studio and common areas for safety, security and incident investigation.

Cameras are not located in washrooms or change rooms. Surveillance footage is not used for advertising or teacher training. Access is restricted, and footage is retained only for as long as reasonably necessary for the stated purpose or to investigate and resolve a specific incident.

Cookies and Website Information

Our websites may use essential cookies and similar technologies to operate website functions, remember preferences, understand website use and support analytics.

Browser settings may allow you to block or delete cookies. Disabling certain cookies may affect website functionality. Third-party services embedded in our websites may also use cookies in accordance with their own privacy policies.

Our websites may contain links to external websites. Core is not responsible for the content or privacy practices of those websites.

 

Marketing Communications

Where permitted, Core may send information about programs, classes, teacher training, events and offers.

You may unsubscribe from promotional emails using the link included in the message or by contacting us. Unsubscribing from marketing will not prevent Core from sending necessary transactional communications concerning bookings, purchases, memberships, safety or account administration. Accepting this Privacy Policy does not constitute consent to promotional photography or video use.

 

Storage Outside Canada

Some service providers may store or process personal information outside Canada, including in the United States. When information is processed in another jurisdiction, it may be subject to the laws and lawful access requirements of that jurisdiction.

Core remains responsible for selecting appropriate service providers and using reasonable contractual, administrative and technical safeguards.

 

Retention and Protection

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to satisfy legal, tax, insurance, certification and business-record requirements.

Core uses reasonable administrative, physical and technical safeguards to protect information from loss, theft and unauthorized access, use or disclosure. No method of electronic storage or transmission can be guaranteed to be completely secure.

 

Access, Correction and Withdrawal of Consent

You may request access to personal information held by Core or ask us to correct inaccurate information, subject to applicable legal exceptions.

You may withdraw consent for optional uses, such as marketing or future promotional and educational recording. Withdrawal will not affect processing already lawfully completed and may be subject to reasonable legal or contractual restrictions.

Requests to delete information will be considered subject to Core’s obligations to retain transaction, waiver, incident, educational, certification or other required records.

We may need to verify your identity before completing a request.

 

Children and Youth

Where Core permits a person under 18 to participate, information may be collected from or with the involvement of a parent or legal guardian. A parent or guardian must complete the applicable child waiver and provide any consent required for a child who is not able to provide meaningful consent independently. Promotional use of a minor’s image requires separate consent.

 

Changes to This Policy

Core may update this Privacy Policy periodically to reflect changes in our services, technology or legal obligations.

The current version will be posted on our website with its effective date. Where appropriate, we may provide additional notice or request renewed acknowledgement.
